How to Obtain Board Approval
To maintain transparency and respect proper procedure, a formal motion must be made for the board to approve a guest observer at a board meeting—even if the service is free. This ensures that the visit is properly authorized and documented in the official meeting minutes.
If You Are a Board Member: You may propose the motion yourself during a meeting or ask for it to be included on the next agenda.
If You Are a Unit Owner: You must ask a board member to sponsor the motion and request that it be added to the upcoming meeting agenda. Most boards will require a current board member to introduce the item.
Motion to Invite Guest Parliamentarian to Observe Board Meeting
MOTION:
I move that the Board approve the attendance of Jessica Herzog, a guest Parliamentarian from Leeward Repair, LLC dba Local Parliamentarian, at our next board meeting as a silent observer.
Talking points in favor
This visit is offered at no cost to the Association and is intended to provide neutral, professional insight into our meeting process. Ms. Herzog will not participate in the meeting but may provide confidential feedback to the requesting owner after the meeting. There is no obligation to act on her feedback or retain future services.
If the Board finds value in the observation, we may consider further engagement at our discretion. Should we choose to retain her services in the future, the Association may qualify for a non-profit discount if properly filed.
